Club Officer and Board Duties

 

2019 Officers:

President – Ben Gundy
Vice President – Joe Paris
Treasurer – Sharon Dowell
Secretary – 
Event Coordinator – Bill Betts
Webmaster – Ben Gundy

 

President:

  1. Overseeing and administration of club activities
  2. Preside over all meetings of the club
  3. Abide by and enforce the bylaws of the club
  4. Call on the Executive Committee to formulate or make changes to club policy
  5. Maintain communication with the board and put all issues to a vote as per the bylaws
  6. Act as club spokesman to external organizations and the general public
  7. Cast the tie breaker vote when necessary
  8. Work closely with the Webmaster and Event Coordinator
  9. Work with the other board members and general members on club activities and to promote growth of the club
  10. Appoint club chair positions as needed

Vice President:

  1. Conduct meetings in the absence of the President
  2. Take on tasks to assist the President when needed
  3. Participate in Executive Committee meetings
  4. In case the club President resigns, the Vice President automatically becomes the President and the Board appoints a new Vice President
  5. Book the appropriate size room for club meetings

Secretary:

  1. Record complete and accurate minutes of Board meetings
  2. Submit minutes of all meetings to the Webmaster within two days for official posting to the club website
  3. Select a substitute to take meeting minutes when not able to attend meetings
  4. Send greeting cards to members for illness/death of a family member

Treasurer:

  1. Maintain membership applications
  2. Collect membership dues and all monies due to the club and deposit them in the club checking account
  3. Send welcome notes to all guests and new members
  4. Balance the checkbook and maintain a complete, accurate and up to date record of all transactions
  5. Be prepared to present a financial report at all business meetings
  6. Disperse monies for expenditures and approved by the Executive Committee
  7. Provide name, address, phone number and email address for each new member to the Webmaster
  8. Maintain proper IRS/Tax documentation – including filing the IRS Form 990-N online before May 15 of each year

Event Coordinator:

  1. Prepare program schedule for the upcoming club year
  2. Plan the program content for regular meeting nights
  3. Arrange for guest speakers and presenters
  4. At the request of the President, preside over regular club meetings
  5. Work closely with the Webmaster in assuring the information put on the website is accurate and up to date

Webmaster:

  1. Maintain the club website and update it weekly
  2. Work with the Event Coordinator to make sure information on upcoming club presentations is up to date and accurate
  3. Publish monthly board meeting minutes to the website
  4. Publish on the website technical articles, tutorials and information on upcoming activities
  5. Keep the club calendar on the website up to date, along with posting the next club presentation on the calendar page, home page, online newsletter and emailed newsletter
  6. Add member photos and tutorials to the website
  7. Recommend changes to improve the function and user interface of the website
  8. Keep website up to date as to cell phone/tablet compatibility and manage website SEO

Duties of the Board of Directors:

  1. Members may be suspended or expelled by the elected officers for non-payment of dues or for other good and sufficient reason. The elected officers shall have full discretion as to what constitutes “good and sufficient reason” and the decision of the elected officers shall be final in instances of this case.
  2. The elected officers shall handle all routine business of the club and shall authorize the expenditure of funds for all club expenses such as speakers, judges, equipment, printing, dues, fees, and mailings.
  3. Decisions of the Executive Elected Officers will be made by votes and require a 2/3 majority.
  4. If the President vacates office, the Vice-President shall become President. If any other officer or director vacates office, a successor shall be chosen by the Executive Elected Officers.
